Approved Supplier Register

Purpose. Lists every supplier of raw materials, packaging, services and contract testing that has been approved to supply the business, with the basis of approval and the review date.

1.What the register holds

The register records each approved supplier, the materials or services they are approved to supply, the site or sites they supply, the approval basis, the approval date, the risk rating and the next review date. Suppliers of allergens, high risk ingredients and pharmaceutical raw materials are rated high risk.

2.Approval basis

A supplier will be approved on the basis of a current third party food safety or good manufacturing practice certificate, a satisfactory audit by the quality team, or for low risk items a completed supplier questionnaire and a satisfactory first delivery. High risk suppliers require a certificate and an audit.

3.Using the register

Purchasing must not raise an order with a supplier not on the register. Receiving must check every delivery against the register and quarantine any delivery from a supplier that is not listed or whose approval has lapsed.

4.Review

High risk suppliers will be reviewed annually and others every two years. A supplier with a critical complaint, a recall or a lapsed certificate will be placed on conditional status and reviewed within thirty days.

5.Removal

A supplier will be removed from the register when approval is withdrawn or when they have not supplied for two years. Removal will be recorded with the reason and stock on hand from that supplier will be reviewed.
